Privacy Policy

1. Information we collect

Depending on the features you use, RoK Vault can process your Governor ID, in-game name, kingdom number, account authentication data, My Hub membership and permissions, imported kingdom/player statistics, event signups, migration records, configuration choices, subscription status and technical usage information.

RoK Vault does not receive your full payment-card details. Payment information is collected and processed by Stripe.

2. Why we use it

We use data to provide accounts and private Hub access, import and display kingdom records, deliver subscriptions and trials, run calculators and AI features, prevent abuse, troubleshoot the service, understand product usage and meet legal or accounting obligations.

3. Private My Hub data

My Hub content is intended for the members and leadership roles authorised for that Hub. Document visibility and leadership permissions are applied to imported and structured records. Public AOO, MGE or migration forms are designed so applicants do not receive access to private Hub data or other applicants’ submissions.

Personal preparation plans

Preparation plans save on your device by default. When you choose to save online, we store the account label, goal, deadline, troop counts, resource and speedup balances, protected reserves, calculation choices and confirmation time in your private RoK Vault account. Other users and Hub members cannot access this personal plan. The planner processes screenshots in your browser; online saving does not upload those images or automatically send your plan to AI features. You can download a copy, and existing online plans remain available to open or download if Player Pro expires.

4. AI features

When you use an AI feature, the prompt and the minimum context required to answer it can be sent to the AI infrastructure used by RoK Vault. RoK AI does not automatically receive your private My Hub data. Features such as Ask My Kingdom, when enabled, are specifically designed to use permitted Hub data and must respect the same Hub access rules.

5. Service providers

RoK Vault uses service providers to operate the product, including Supabase for database/authentication infrastructure, Vercel for hosting and AI Gateway infrastructure, and Stripe for subscriptions, Managed Payments and billing support. Analytics or advertising providers may be used where enabled and permitted.

6. Analytics, cookies and local storage

RoK Vault uses technical storage required for account sessions and preferences. We also use Vercel Analytics to understand aggregate site usage. If advertising or other non-essential tracking is introduced in a jurisdiction that requires consent, we will use an appropriate consent mechanism before enabling it.

7. Retention

We keep account and product data for as long as reasonably needed to provide the service, maintain security, resolve disputes and meet legal obligations. Some billing and audit records may need to be retained after an account or Hub is no longer active. Test and diagnostic data is removed when it is no longer useful.

8. Your choices and rights

You can update relevant account or Hub information through RoK Vault and can manage billing through Stripe. Depending on where you live, you may have rights to access, correct, delete, restrict or object to certain processing, or to receive a copy of personal data. 9. International processing

Our service providers may process data in countries other than your own. Where required, the relevant provider and RoK Vault rely on lawful transfer mechanisms and contractual safeguards.

10. Children

RoK Vault is not directed to children under 13. Users must also meet any higher minimum age or consent requirement that applies where they live or to the services they use.

11. Security

We use authentication, row-level database controls, scoped Hub permissions, signed payment webhooks and other technical measures intended to limit unauthorised access. No online service can guarantee absolute security.
